Email Forwarder


The best way of managing multiple email addresses is not to create multiple email accounts but to create forwarders. 

 

An email forwarder redirects mail addressed to one email address (word@yourdomain.com) to a second email address (whatever-email-address@you-enter.com). You can forward mail to any email address including your ISP account (Optus, Bigpond etc), or a domain account.

 

Put simply, instead of having to manage multiple email accounts, you manage one account and redirect your other mail to it.

 

Example:
Create an email account on the server through cPanel named bsmith@mydomain.co. Follow the steps here for this.

Then create forwarders to it..
newsletter@mydomain.com forwards to bsmith@mydomain.com
reply@mydomain.com forwards to bsmith@mydomain.com
email@mydomain.com forwards to bsmith@mydomain.com

 

Then you set up the email account on your computer (Outlook, express) to connect to the account on the server and download all mail sent to bsmith, newsletter, reply and email.  Follow the steps here for this.

 

How to set-up a REPLY email account on your computer.

This account will be used to reply to emails based on how you want the reply to be seen by the receiver. How this works... this account will not RECEIVE mail but uses your ISP mail server to SEND mail. You will need to know your ISP email address, username and password before starting.

 

1. Open Software (Outlook Express)
2. Select Tools
3. In Tools option, select Accounts / Email Accounts
4. Add Mail / Add a new email account

Select POP3 Email Account

5. Your Name - Enter a name that identifies this email account to you as the user (My Web Address or the email address).

6. Enter the FORWARDER Email Address- add the full email address (email@domain.com)

7. My Incoming mail server: POP3
Incoming mail server: Enter mail.yourdomain.com
Outgoing mail server: Your ISP Mail Server Address * (eg: mail.ispname.com)

8. User name: Enter the newly created email address replacing @ with + (email+domain.com)
Password: Enter the chosen password.

9. Click on the More Settings (button)

GENERAL tab
Mail Account - Will be filled in
Organisation - Can be left blank or the name of your business.
Reply email - the full forwarder email address

OUTGOING SERVER tab
Check the box - My outgoing server (SMTP) requires authentication
Check the box - Login using

Then enter the Username and password of your ISP email account.

Click OK

Click NEXT

You should receive a Congratulations message.

Click FINISH

 

Almost done...

 

Tools / Options / Mail Setup (tab) Send/Recieve (button)

All accounts and select Edit

On the left will be displayed all the email accounts in your system.  Left click on the account you just set-up.

In the account properties, deselect (uncheck) Receive mail items.  This means the account will 'send' mail but will not try and connect to 'receive' email.

* The email account is used to RECEIVE email and use your ISP email account to SEND email, so now we will configure the Outgoing Mailserver information.

Locate the Mail Account (Tools/Accounts), select the account you have just created and open the Properties.  Go the the tab named 'Servers'. 

 

You can create as many REPLY email accounts as you like by repeating the steps above.

Now, when an email arrives addressed to your one of your accounts and you wish to reply to it, you click on reply, and then from the Accounts (drop down button or list) select the account you prefer and SEND the email and it will appear to be coming from the named account.

 

Add New Account and Forwarders are found in cPanel after logging in. Depending on the version of cPanel, look for Mail Accounts icon, and then Add/Remove/Manage Accounts, and Forwarders.
